Administrative and Program Assistant

The Conference of Presidents works on behalf of Israel and the Jewish community around the world and is a key point of contact for communal, national and world leaders.   Working under the supervision of the Chief Operating Officer, the Administrative & Program Assistant is responsible for facilitating daily office operations including answering telephones, handling electronic and printed mail, word processing, filing, record-keeping, providing logistical support for meetings and ordering office supplies. 

The Administrative and Program Assistant deals with a diverse group of important external callers and visitors and handles confidential information.  The position requires high motivation, the ability to work efficiently in a fast-paced environment with a high degree of attention to detail and accuracy. Excellent communications skills and the ability to interact with prominent individuals with a high level of professionalism and confidentiality are required.  The position offers a great opportunity to enhance one’s knowledge about Israel-related issues and Jewish communal concerns.
 

Essential responsibilities include:

  • Answer and screen telephone calls and track messages
  • Serve as the first line of inquiry for telephone and email requests
  • Provide day-to-day support for COO including copying, filing, proof-reading
  • Coordinate arrival of visitors and packages with building security
  • Greet visitors to the office
  • Open, sort and process incoming electronic and paper mail
  • Prepare and modify documents, invoices, reports
  • Process and acknowledge contributions
  • Maintain accuracy of database and generate reports
  • Maintain electronic and paper files
  • Oversee inventory of supplies and equipment maintenance
  • Provide administrative support for Conference committee meetings, event logistics, Israel Leadership Mission, programmatic initiatives and other work as assigned

Qualifications:

  • Bachelor’s degree and minimum 1-2 years office experience required
  • Knowledge of standard office administrative practices and procedures
  • Strong written and oral communications skills
  • Ability to manage multiple priorities and diverse workload under time constraints
  • Full proficiency with MS Office Suite
  • Knowledge of eTapestry or Raiser’s Edge database strongly preferred
  • Ability to work independently and collaboratively with other staff members
  • Background knowledge of current events in Israel and the Middle East
  • Familiarity with Jewish community organizations and priorities
